What to Do When You Arrive
Welcome to the world of Volaire! This guide walks you through what happens when you arrive at an event—from check-in to entering play.
🛬 Step 1: Arrive and Park
Follow all on-site signage and staff directions for parking. Be mindful of muddy or soft terrain during rainy weekends.
Unload your gear quickly and respectfully. If you need help locating your tent area, staff or veteran players can assist.
🧾 Step 2: Go to Check-In
Every player must check in at the designated Logistics area upon arrival.
At check-in, you will:
- Sign the event waiver (if you haven’t already)
- Confirm your character and XP purchases
- Pay your event fee
- Receive any approved skill tags, item cards, spell sheets, or CP records
Check-in is mandatory before you can enter play.
🧪 Step 3: Get Your Phys-Reps Inspected
If you’re bringing any of the following, they must be reviewed by staff for safety and approval:
- Weapons (boffer weapons, bows, etc.)
- Armor
- Spell packets
- Alchemy, potion, or scroll phys-reps
- Any large or unusual props
Do not bring real weapons or unsafe equipment. Staff reserves the right to refuse any item that poses a risk or breaks immersion.
🧥 Step 4: Change Into Costume
Once you’ve checked in and had your equipment approved, change into your costume and get ready to enter play.
Make sure your outfit meets the minimum costuming standards:
- Genre-appropriate clothing
- Covered modern footwear
- Representations of your character’s race or role (if applicable)

🧙 Step 5: Entering Play
After check-in and costuming:
- Wait for opening announcements or game-on call
- Roleplay begins once game is officially called “ON”
- Until then, remain out-of-character and assist others as needed
You may also receive:
- A briefing on rules or site-specific safety
- Special story information if you're part of an ongoing plotline
🧠 Tips for First-Time Players
- Show up early to allow time for setup and questions
- Check the weather and dress accordingly
- Ask for help—staff and players are happy to guide you
- Keep snacks and water on hand throughout the event
