What to Bring


Whether it’s your first event or your fiftieth, this guide will help you pack for a safe, immersive, and fun Volaire experience.


🧳 Required Items

Every player must bring the following:

  • Government-issued ID – You must be at least 18 years old to attend.
  • Signed Waiver – All players must sign the event waiver at check-in.
  • Appropriate Footwear – Sturdy, close-toed shoes or boots are required at all times.
  • Phys-Reps for Skills – If your character uses weapons, spell packets, potions, or tools, you must bring a physical representation for each (see below).
  • Costume – You must be in genre-appropriate costume that fits your character’s race and class.
  • Tent or Sleeping Gear – If camping, you must bring your own sleeping setup.
  • Food and Water – You are responsible for your own meals and hydration during the event.

πŸͺ„ Phys-Reps and Gear

Volaire uses a phys-rep (physical representation) system for all items used in play. This includes:

  • Weapons – Must be approved boffer weapons that pass a safety check.
  • Spell Packets – Soft packets filled with birdseed or foam for spellcasting.
  • Armor – Represented by actual armor or appropriate costume that matches armor tags.
  • Potions and Scrolls – Must be phys-repped with labeled vials or scroll props.
  • Tools or Roleplay Items – Lockpicks, alchemy kits, holy symbols, etc., must have appropriate reps.

If you're unsure whether something is acceptable, bring it to Logistics for approval before game starts.


πŸ§₯ Costuming Guidelines

Costume should reflect your race and class, and be appropriate to a high-fantasy medieval setting.

Tips:

  • Avoid zippers, modern fabrics, logos, or visible electronics
  • Layers are idealβ€”Volaire can be cold or rainy at night
  • Consider weatherproof cloaks, gloves, or thermals beneath your garb

β›Ί Overnight Essentials

Most events run from Friday evening through Sunday morning.

Recommended overnight supplies:

  • Tent and sleeping bag or bedding
  • Pillow and extra blankets
  • Flashlight or lantern (in-world appropriate if possible)
  • Extra clothes and socks
  • Toiletries and hand sanitizer
  • Bug spray and sunscreen

Always prepare for rain, cold nights, or muddy terrain.


🍎 Food & Drink

Volaire does not provide meals unless specifically stated for a given event.

Bring:

  • Enough food for all meals (Friday night through Sunday morning)
  • Snacks that won’t spoil in the heat or cold
  • At least one gallon of drinking water per day
  • Reusable dishes, utensils, and a camp stove if needed

  • Notebook and pencil for taking notes or spells
  • Extra spell packets
  • Tape, glue, or repair supplies
  • Safety pins and sewing kit
  • Copies of your character sheet
  • IC-safe pouch or bag for in-game items

🚫 Prohibited Items

Do not bring:

  • Real weapons (steel blades, guns, etc.)
  • Alcohol or illegal substances
  • Pets
  • Modern tents or gear that detracts from immersion (unless cleared for medical needs)
